Graduate Student Administrative Assistant – Job Description

Admissions 45%

· Matching incoming student documents to the appropriate student records;

· Filing student records;

· Sending out correspondence to prospective or admitted students;

· Providing coverage for Graduate School staff as needed;

· Assisting in material preparation and organization;

· Coordinating special efforts for recruitment as determined by the Graduate School staff and Dean;

· Contacting international applicants for document follow-up.

Administrative 45%

· Monitor Graduate School Outlook inbox;

Providing excellent customer service to prospective and current graduate students;

· Answering phones, greeting visitors, processing/compiling mail, filing and monitoring inventory;

Mail I-20 immigration documents to prospective students.

Other 10% – Duties may include, but are not limited to:

· Conducting research for the Dean, Program Directors, Graduate School staff and others;

· Assisting with Graduate events;

· Providing campus tours to prospective students;

· Additional duties may be assigned at the discretion of the Executive Assistant or Director of Graduate Admission.

Requirements for the position

· Currently enrolled as a graduate student in good academic and financial standing;

· Ability to interact with faculty, staff, student workers, and prospective students;

· Ability to manage multiple tasks and maintain high standards through close attention to detail;

· Strong organization and phone skills to assist in providing good customer service;

· Strong English language skills, written and verbal;

· Proficient in Microsoft software, especially Word and Excel;

· Preferred, but not required, proficiency in Arabic and/or Hindi
